How to follow up on quotes without chasing customers

Many service businesses send good quotes and then wait. The customer gets busy, the quote ages and the work goes to whoever called back. A follow up routine is one of the simplest decisions an owner can put in writing.

Why quotes go quiet

Usually it is not price. The customer is comparing options, waiting on someone else in the household, or simply forgot. A short, polite follow up at the right time answers questions and keeps the quote in front of them.

Write the rule once

Decide when follow ups happen, how, and by whom. For example, a call two business days after the quote goes out and a short message a week later. One rule, written down, beats a good intention every time.

Score the rule like any decision. Opportunity is usually high and effort low, which is why stale quotes so often rank near the top of a Monday list.

One owner for the whole list

Give the follow up list to one person. If the estimator, the office and the owner can all follow up, often none of them do. The owner of the list can hand off individual calls, but they answer for whether the list was worked.

Record every outcome

Each follow up ends in one of a few outcomes. Accepted, declined, needs a change, call back later, or no answer. Write the outcome on the quote. Over a few weeks the outcomes show where quotes stall, which is more useful than any guess.

Check the list every week

In the weekly meeting, look at quotes older than the rule allows. Each one is either followed up, closed or moved to a new date with the same owner.

The following is a generic illustration, not a client. An HVAC company finds several quotes older than ten days on a Monday. The office lead owns the list, calls them that week and writes each outcome down. Friday's check shows which ones moved.

Where an AI-assisted line can help

Where follow ups are routine conversations, an attached AI-assisted communication system can make the call under the business's rules and write the outcome back to the record. The owner of the list still checks the results.
