Seasonal demand planning for service businesses

Most service businesses know they have a busy season. Fewer plan for it with written decisions. Hiring, parts, schedules and marketing all have lead times, and the time to decide is before the phones start ringing.

Read the season from your own signals

Your own history is the best guide. Calls, quotes and jobs by month show when demand turns. Public search interest for your services is a second, outside signal that often moves earlier than calls do. Neither is a promise. Both are better than memory.

Work back from the peak

Pick the week demand usually peaks and work backwards. When does a new hire need to start to be useful by then. When do parts need to be ordered. When does a marketing push need to begin. Each answer is a dated decision.

Score the season's decisions together

List every seasonal decision and rate opportunity, risk and effort from 1 to 3. Looking at them together prevents the common mistake of preparing the easy things and leaving the important ones until it is too late.

Give each one an owner and a date

Seasonal decisions are easy to postpone because the season always feels far away. A named owner and a due date in the off season are what get them done.

The following is a generic illustration, not a client. A landscaping company lists four decisions in winter. Hire a spring crew lead, order irrigation parts, confirm equipment service and restart the spring mailing. Each gets an owner and a date counted back from the spring rush.

Check when the season arrives

When the season comes, look back at each decision. Did the hire start in time. Did the parts arrive. Did the calls come when expected. Those answers make next year's plan start from what actually happened.

How North Star Vision helps

Clients can upload keyword reports with monthly search trends, and the portal shows an estimated demand forecast next to their decisions. The forecast is labeled as an estimate from the customer's own data, and it never changes a score on its own.
